Merchant Onboarding / KYC POPIA Notice

This notice explains how KD (Kkasi Dash) collects and uses personal information and business-related information when you apply to onboard, verify, or operate as a merchant on the KD platform.

1) Who we are

KD (Kkasi Dash) is operated by Kkasi Dash (Pty) Ltd, owned by Nulysis (Pty) Ltd.

2) Why we collect this information

We collect merchant onboarding and KYC information to:

  • assess and process merchant applications;
  • verify identity, business legitimacy, and account ownership;
  • help prevent fraud, impersonation, abuse, and unsafe platform activity;
  • enable merchant profile activation and platform participation;
  • support payments, settlements, and payout-related processes where applicable;
  • comply with legal, regulatory, operational, audit, and recordkeeping requirements;
  • investigate complaints, disputes, suspicious activity, or policy breaches.

3) Information we may collect

Depending on the merchant type and category, KD may collect:

  • full name, phone number, email address, and account details;
  • business name, trading name, merchant category, business address, city/area, and operating information;
  • identity information, such as ID/passport details and copies of identity documents;
  • business verification documents, such as registration records, permits, licences, or similar supporting documents;
  • proof of address or trading-location evidence;
  • banking and payout-related information, such as bank name, account holder name, account number, branch code, and supporting bank verification details;
  • profile photos, business photos, logos, service or product information, and pricing;
  • device information, app version, IP address, and technical logs associated with onboarding and account access;
  • communications, declarations, support messages, and records of onboarding decisions;
  • acceptance records for legal terms, privacy notices, and related versions.

4) Is this information mandatory?

Some of the information requested during merchant onboarding is mandatory. If you do not provide required information or documents, KD may be unable to:

  • assess your application;
  • verify your identity or business;
  • activate your account;
  • enable payouts or certain merchant features;
  • continue to keep your merchant profile active.

5) Source of information

We primarily collect this information directly from you. In some cases, KD may also obtain or confirm information from:

  • payment or payout service providers;
  • compliance or verification partners;
  • public sources, business listings, or regulator records;
  • customer complaints, support records, or internal platform activity.

6) Who may receive the information

KD may share merchant onboarding information with:

  • internal staff or contractors who need access for onboarding, support, compliance, review, or fraud prevention;
  • hosting, cloud, database, and communications providers;
  • payment processors, payout providers, and financial operations partners;
  • identity, fraud, or verification service providers;
  • legal advisers, auditors, insurers, and compliance support providers;
  • regulators, law enforcement, courts, or other authorities where required by law.

7) Retention

KD keeps merchant onboarding, verification, legal acceptance, and transaction-related information only for as long as reasonably necessary for onboarding, account management, legal compliance, fraud prevention, dispute handling, evidentiary needs, auditing, and legitimate business operations.

Where the law requires longer retention, KD may retain information for that period.

8) Your rights

Subject to applicable law, you may request:

  • access to your personal information;
  • correction of inaccurate or incomplete information;
  • deletion or destruction where retention is no longer authorised or required;
  • objection to certain processing in the manner permitted by law;
  • withdrawal of consent where processing is based on consent, provided that earlier lawful processing remains valid.

9) Security

KD uses reasonable administrative, technical, and organisational safeguards to protect merchant data. However, no system is completely immune from security risk.
